Publications & Archives Committee

The Publications & Archives Committee oversees Lake Erie Yearly Meeting’s printed and web publications and makes sure the Yearly Meeting’s records are preserved. Most of what LEYM publishes for its members, from the newsletter to the minutes to the annual record of Annual Meeting, passes through this committee.

What We Publish

The LEYM Bulletin

The Bulletin is LEYM’s newsletter, published three times a year: one issue with information and registration for Representative Meeting, one for Annual Meeting, and one looking back at Annual Meeting through summary reports. It carries the clerk’s message, announcements of gatherings, reports from committees and representatives, youth news, and news from other Friends’ organizations. The committee supervises the Bulletin editor. Printed copies are mailed to monthly meetings and worship groups, and every issue is posted as a PDF on the LEYM Bulletins page, with older issues in the Bulletin Archives.

The Annual Records

Each year, following Annual Meeting, the committee appoints an editor to compile the Annual Records: minutes of Representative Meeting and Annual Sessions, reports and the approved budget and nominating slate, State of the Meeting and statistical reports, memorial minutes, and a directory of meetings and worship groups. The printed edition includes the full directory. The online edition leaves out contact information other than for each meeting’s contact person, for privacy. The editor also updates the LEYM Chronology each year, and the Yearly Meeting’s history and description as needed.

Minutes

The committee edits minutes of Representative Meeting, Annual Sessions, and Executive Committee meetings for consistency of language and format. The edited minutes appear in the Annual Records and on the LEYM Minutes page.

Policies & Procedures

Each year the committee reviews the Policies & Procedures manual, tells the presiding clerk about any inconsistencies that have crept in as procedures change, and makes sure the latest version is posted on the website.

Annual Meeting materials

The committee helps gather summaries, transcripts, or recordings of the plenary address and workshops at Annual Meeting for the Annual Records. Recordings and talks are also collected on the Plenary Talks & Interviews page.

The website itself is maintained by LEYM’s Digital Communications Facilitator, who works alongside the committee. To have something posted, see LEYM Event Planning or Contact Information.

Archives

The committee sends LEYM’s records, including each year’s Annual Records, Bulletin, and other print publications, to the Friends Historical Library at Swarthmore College, where they are held as the Lake Erie Yearly Meeting Records (1934 onward) including records of constituent meetings), and encourages monthly meetings to preserve their own records in a Quaker archive as well. Meetings and worship groups that produce a newsletter are asked to send a copy to the Bulletin editor.

Getting Involved

The committee has four members, with one new member named each year, and the Bulletin editor serves with the committee. Its meetings are open to any Friend. If you enjoy editing, proofreading, organizing information, or caring for a community’s memory, we would be glad to hear from you.
